1. Agreement to Terms

By downloading, installing, or using MailHelm ("the Software"), you agree to be bound by these Terms of Service ("Terms"). These Terms constitute a legal agreement between you and Roodee AI Lab ("we", "us", "our"), a company registered in Australia.

If you do not agree to these Terms, do not download or use the Software.

2. License Grant

Subject to these Terms, we grant you a limited, non-exclusive, non-transferable, revocable license to:

  • Download and install the Software on devices you own or control
  • Use the Software for personal or commercial email management purposes
  • Use the features corresponding to your subscription tier (Free, Pro, or Business)

3. Subscription Plans

Free Plan

The Free plan provides limited features at no cost. No credit card is required. We reserve the right to modify Free plan features with reasonable notice.

Paid Plans (Pro & Business)

  • Paid plans are billed monthly or annually through Lemonsqueezy
  • Subscriptions auto-renew unless cancelled before the renewal date
  • You may cancel at any time; access continues until the end of the billing period
  • Price changes will be communicated at least 30 days in advance

Grace Period

New paid subscriptions include a 7-day grace period. If your license activation fails or you experience issues, we will work to resolve them within this period.

4. Restrictions

You may not:

  • Reverse engineer, decompile, or disassemble the Software
  • Modify, adapt, or create derivative works of the Software
  • Distribute, sublicense, rent, or lease the Software to third parties
  • Use the Software to violate any applicable laws or regulations
  • Use the Software to send spam, phishing, or other unwanted communications
  • Circumvent license validation or usage limits
  • Share your license key with others

5. AI Features Disclaimer

Built-in AI Rule Generation

MailHelm uses AI to generate classification and priority rules from natural language. The AI only creates rules β€” it never reads, processes, or accesses your email content at runtime. All rule execution is performed locally by the deterministic rule engine.

  • AI-generated rules may not always match your intent. Review and adjust rules as needed.
  • Rule generation is provided as a built-in service. Free plan: 60 rules/month. Pro/Business: unlimited.
  • No API key is required for built-in rule generation.

AI Lab (Beta) β€” Advanced AI Features

AI Lab is an optional feature that allows advanced users to bring their own API key to enable AI-powered email features such as summarization, deadline extraction, and reply drafting. Regarding AI Lab:

  • AI Lab features may access your email content and send it to third-party AI providers.
  • You are responsible for providing and managing your own API key.
  • AI API usage costs are entirely your responsibility.
  • Email content sent to AI providers is subject to those providers' terms and privacy policies.
  • AI outputs may contain errors or inaccuracies. Do not rely on them for critical decisions without human review.
  • We are not responsible for actions taken based on AI-generated content.
  • Use of AI Lab is entirely at your own risk and discretion.

6. Account Keep-Alive Disclaimer

The account keep-alive feature automates browser-based login to prevent account deactivation. Please note:

  • Use of this feature may violate some email providers' terms of service
  • You are responsible for ensuring your use complies with your email provider's policies
  • We are not liable if your email account is suspended due to automated access

7. Data and Privacy

Your use of the Software is also governed by our Privacy Policy. Key points:

  • All email data is stored locally on your device
  • We do not have access to your email data or credentials
  • You are responsible for backing up your local data
  • We are not liable for data loss due to hardware failure, software bugs, or user error

8. Intellectual Property

The Software, including its code, design, logos, and documentation, is owned by Roodee AI Lab and protected by copyright and intellectual property laws. These Terms do not grant you any ownership rights.

9. Termination

We may terminate or suspend your license if you:

  • Violate these Terms
  • Engage in fraudulent activity
  • Attempt to circumvent license validation

Upon termination, your license is revoked. Your locally stored data remains on your computer and is not affected.

10. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  • The Software is provided "AS IS" without warranties of any kind
  • We disclaim all warranties, express or implied, including merchantability and fitness for a particular purpose
  • We shall not be liable for any indirect, incidental, special, consequential, or punitive damages
  • Our total liability shall not exceed the amount paid by you in the 12 months preceding the claim

11. Governing Law

These Terms are governed by the laws of the State of Victoria, Australia. Any disputes shall be subject to the exclusive jurisdiction of the courts of Victoria, Australia.

12. Changes to Terms

We may update these Terms from time to time. Material changes will be communicated via email or in-app notification. Continued use of the Software after changes constitutes acceptance.
